Responding to Region IV Productions

Thank you for volunteering to be a production respondent!

We literally cannot do this without you.

We’ve prepared a list of “pointers” that essentially make up a “how-to” guide for responding to productions. You’ll find all of that in one convenient PDF file here. Don’t go out to a response without reading this carefully, even if you’ve responded many times before!

Quick Checklist for KCACTF Respondents

Prior to leaving for the response:

  • Do you have the cell number of the faculty member meeting you?
  • Have arrangements been made for hotel accommodations if needed?
  • Do you have paper and pen?
  • Have you reviewed the guidelines recently?

At dinner or prior to the performance:

  • Ask if there is anything that you should be aware of in the performance. This includes asking if there is a consistent note the director would like you to reinforce.
  • Ask about the design team and what students are eligible for nominations.
  • If it is a participating show, ask if they will be able to travel the show if selected. Don’t let this discourage you from recommending or highly recommending the show, but it is good to know up front. Your recommendation could help them find the financial means to travel the show.

During the performance:

  • Take notes on the performance, design elements, even the audience.

After the performance:

  • Organize your notes.
  • Give an introduction that includes information about KCACTF and who you are, as described in the guidelines
  • As you give your response, be sure to include discussion of production elements.
  • Ask questions.
  • Confirm the choices and eligibility of Ryan and other nominations with the director.

Within 72 hours:

  • Submit your response.
  • Fill out the mileage reimbursement request.

Please Also Remember …

  • Save the show program as it provides needed information.
  • Online response forms must be completed within 72 hours of the response.
  • Associate response forms are simply a listing of any student or faculty nominees for awards.
  • Participating response forms require written comments that are shared exclusively with other members of the Region Selection Team.
  • Upon submission of the online response forms you will have the opportunity to submit a mileage reimbursement form.  Mileage is reimbursed at a rate of $0.35 per mile.
  • If the cost of renting a car is less than the cost of reimbursement, please rent a car. We will cover that cost.
  • Please be sure to attend the Respondents Workshops at our Festival or at SETC.  These give new respondents a chance to learn tips from old pros and for those old pros to learn a few things as well. If you are going out for a response prior to attending a workshop, please contact your response coordinator or feel free to email
